The main purpose of the job is management and maintenance of the employee masterdata in the HR, Payroll, other internal systems, accurately and timely. Furthermore, the Payroll & HR administrator is to secure high standard of the payroll delivery in the organization through professional communication with the external payroll provider and internal customers – employees. This job is also responsible for reporting of the employee related data to the Swedish governmental authorities as per Swedish labour Law and Social Security. The Payroll & EE administrator assists all EE team with various administrative tasks.The role will report to Senior Director of Global Rewards and People Analytics team within the Global Employee Experience Department.
  • Manage and maintain the HR Administration System, employee data and personal records in a confidential and professional manner, according with high standards of data accuracy and timing.
  • Secure accurate payroll delivery to external payroll partner, and provide external parties, e.g. payroll partner, Försäkringskassan, EY, SCB, Svenskt Näringsliv, as well as internal stakeholders, with requested information.
  • Drives internal administrative processes, like absence management, vacations, benefits and holds corresponding documentation
  • General HR administration:
  • Provide support in the annual salary and bonus review processes
  • Make sure the equal pay analysis is made every year according to legislation
  • Create relevant employee related reports upon request
  • Prepare employment related documents such as, e.g. certificates of employment.
  • Update and develop EE/HR related information on Togethernet
  • General HR administrative support to the EE team
  • Inform new employees of General HR administration
  • Secure the annual submission of the salary data to the salary benchmark provider with correct information and manage the market salary benchmark data internally.
  • Support employees with pension questions together with external pension advisor.
  • Manage the invoices and payments related to HR and Payroll processes in the company
  • Communicate and support company managers and employees with administrative and payroll related requests and questions
  • Take active part in the Oriflame onboarding and offboarding processes.
  • Be active member of Global Employee Experience Team participating in employee related activities, projects and initiatives.
  • Knowledge and experience of payroll processes
  • Knowledge of Swedish Employment Legislation and Collective agreements
  • Strong administration skills, structured, high level of accuracy and confidentiality
  • Ability to prioritize, meet deadlines and work well under pressure
  • Strong communicator, with the ability to listen and deliver a clear message
  • Ability to build trustworthy relationships with the stakeholders
  • Service minded, flexible and positive
  • Engaged and efficient team player
  • Basic analytical skills
  • Bachelor’s degree or similar experience in HR relevant area
  • 2-4 years of relevant experience in a similar role
  • Fluency in English
